The short answer

Short answer

An all-in-one suite makes sense if your biggest pain is copying data between apps and you're happy to accept "good enough" in some areas. If one tool is critical to how you make money (say, your accounting or booking system), keep the best tool for that job and connect the rest.

  • Want one vendor for almost everything (CRM, email, projects, finance and more): Zoho One.
  • Your main problem is sales, marketing and customer follow-up: HubSpot, starting with its free tools.

Either way, list your must-haves and test with real data before committing.

Suite vs best-of-breed

Factor All-in-one suite Best-of-breed (separate tools)
Data Shared across apps Needs integrations to sync
Logins and bills One Many
Depth of features Good in most areas, rarely best in all Best at its one job
Switching later Harder: everything moves at once Swap one tool at a time
Best for Teams fed up with duplicate entry Businesses with one critical specialist tool

Fix it: step by step

Step 1: List every app you pay for (20 minutes)

Name, cost per month, who uses it, and what it does. You'll probably find overlaps and forgotten subscriptions.

Step 2: Mark where data gets copied by hand (15 minutes)

For example: enquiry form → spreadsheet → CRM → invoice. Each hand-copy is a candidate for integration or a suite.

Step 3: Write your must-haves (20 minutes)

Five to ten things you can't live without. Example: "Customers can book online", "Invoices sync to my accountant's software", "Works on my phone on site".

Step 4: Ask these questions of any suite or integration (30 minutes)

  • Does it do each of my must-haves today, not "on the roadmap"?
  • Does it connect to the tools I'm keeping (especially accounting)?
  • Can I export my data in a standard format if I leave? The ATO, for example, expects businesses to be able to extract record data "into a standard data format (for example, Excel or CSV)." (ATO)
  • Where is my data stored? Canada's Cyber Centre advises: "Know where a service provider's data centres are located. Different countries have different privacy laws and data protection requirements." (Canadian Centre for Cyber Security)
  • Does it support two-factor authentication and separate user roles?
  • What happens to the price when I add staff?

Step 5: Trial with real data (1–2 weeks)

Move one real workflow end to end. Don't judge by the demo.

Step 6: Switch in stages (a few weeks)

Move one area at a time, and keep the old tool read-only until you're sure.

Frequently asked questions

Is an all-in-one suite cheaper?

Sometimes, if it replaces several paid tools. Add up what you pay now (Step 1) and compare honestly, including per-user costs.

Can I connect separate apps instead?

Yes. Many tools have built-in integrations, and integration services can link others. Check each connection actually syncs the data you need.

What if I outgrow it?

That's why the export question in Step 4 matters.

Is it riskier to have everything in one place?

It concentrates your data behind one login, so protect it with 2FA and a strong unique password. See our 2FA guide.
