The short answer

Short answer

The easiest email tool is the one with a usable free plan, ready-made templates, and simple automation you can set up once and forget. For most small businesses that already want a CRM, HubSpot is the simplest all-in-one start. If you just want to send a good-looking newsletter cheaply, Brevo is the budget pick. If you sell online courses, products or content, Kit is built for you. If you know you'll want powerful automation, ActiveCampaign is the step up.

All four have a free plan or free trial, so you can try before you pay.

What "easy" actually means

Every vendor says it's easy. For a time-poor owner, "easy" means these five things:

  1. A free plan or trial so you can start today without a purchasing decision.
  2. Templates and a drag-and-drop editor, so you're not designing from scratch.
  3. Sign-up forms you can drop on your website to collect consent-based subscribers.
  4. Simple automation: at minimum, a welcome email that sends itself when someone signs up.
  5. Built-in unsubscribe and sender details, because the law requires them. Australia's ACMA says every commercial message must have an unsubscribe option that is honoured "within 5 working days". (ACMA) The US FTC says opt-outs must be honoured "within 10 business days" and your message "must include your valid physical postal address". (FTC)

Anything beyond that (AI writers, advanced scoring, WhatsApp) is nice to have, not a reason to choose.

Who each one suits

HubSpot: easiest if you want email and a CRM together

If you also need to track enquiries and deals (and most service businesses do), HubSpot keeps contacts, follow-ups and email in one place. The free CRM is described as "100% free with no expiration date." (HubSpot) Starter adds email marketing without HubSpot branding and simple automation.

Honest note: the Starter price we saw was a limited-time offer for new customers. Professional plans jump to a very different price level, so check you won't need them soon.

Brevo: easiest on a tight budget

A free plan with no card needed, a drag-and-drop editor and templates, and a low-cost Starter plan. Forms can "automatically trigger follow-up emails as soon as someone signs up".

Honest note: full marketing automation (multi-step workflows) is listed on the Standard plan, not Starter. On Starter, removing the Brevo logo is a paid extra.

Security note: In September 2026 Brevo disclosed two security incidents. A flaw in its single sign-on let an attacker into 138 customer accounts; six were used to send phishing emails and contacts were exported from 43 (Brevo). Four days later, a stolen Cloudflare key let an attacker inject a fake "verify you are human" malware prompt into Brevo's website and embeddable forms and chat scripts for about five and a half hours; Brevo says its app, API, email sending and customer account data were not affected (Brevo post-mortem). Brevo says both issues are fixed. If you use any email platform, turn on two-factor sign-in and review who has access and which API keys exist.

Kit: easiest if you sell content, courses or digital products

Kit's free plan is generous on subscriber numbers and includes unlimited broadcasts, forms and landing pages. Paid plans add visual automations and sequences. It also lets you sell digital products and subscriptions.

Honest note: Kit describes itself as built for creators. A local trades or service business may find HubSpot or Brevo a more natural fit.

ActiveCampaign: best if automation is the point

If you already know you want branching automations ("if they clicked this, send that"), ActiveCampaign is built for it, with 950+ ready-made automation recipes.

Honest note: the entry Starter plan limits you to 5 actions per automation, and there's no free plan, only a trial. It's more tool than a "send a monthly newsletter" business needs.

Frequently asked questions

Which is truly free?

Kit, Brevo and HubSpot all list free plans with limits. ActiveCampaign offers a free trial, not a free plan.

Can I use my Gmail or Outlook account for newsletters instead?

For a handful of people, maybe. For a list, use a proper email tool: it handles unsubscribes, sender details and the authentication that major inbox providers now expect. Gmail says messages that aren't authenticated "might be marked as spam or rejected". (Gmail sender guidelines)

How long does setup take?

With a template, expect an afternoon: connect your domain, add a sign-up form, write a welcome email, and send your first newsletter.

What's the minimum I need to send legally?

Consent, an accurate sender identity, and a working unsubscribe. Requirements vary by country (see the ACMA and FTC links above). This is general information, not legal advice.
